Warehouse Exchange (“WEx,” “we,” “us”) operates a clearinghouse marketplace that matches businesses needing flexible warehouse space with property owners (“suppliers”) who have capacity to lease. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
1. Information We Collect
Account information. When you sign up as a buyer or supplier we collect your name, email, phone number, and (where applicable) company information. Sole proprietors and individuals may sign up without a company affiliation.
Property listings (suppliers). Property address, size, features, photos, and pricing data you provide so we can match buyers. Until a buyer is matched and signs a guarantee, the precise street address is not shown publicly — only an obfuscated neighborhood-level view.
Payment information. Payment methods are tokenized and stored by our payments provider Stripe; WEx does not store full card or bank account numbers. Stripe’s privacy practices are governed by their own policy.
Communications. SMS exchanges (via Aircall), voice calls with our automated assistant (via VAPI), and emails (via SendGrid) sent or received through the platform are retained for service quality, dispute resolution, and legal compliance.
Usage data. Pages visited, features used, search criteria, IP address, and device/browser information collected via standard server logs and our infrastructure provider Google Cloud.
E-signature workflow. Agreements are sent for signature via Documenso. Signed PDFs are stored in our secured cloud storage.
2. How We Use Information
- Match buyers with suppliers and operate the clearinghouse
- Process payments, deposits, and refunds
- Send transactional notifications (booking confirmations, invoices, deposit returns)
- Detect and prevent fraud or abuse of the platform
- Improve the service through aggregate analytics
- Comply with legal, tax, and regulatory obligations
3. Information Sharing
We do not sell your personal information. We share it only with:
- Counterparties when a deal is in flight (e.g. a supplier sees your name and company once you sign the guarantee on their listing)
- Service providers who power the platform: Stripe (payments), Documenso (e-signature), Aircall & VAPI (communications), SendGrid (email), Google Cloud (hosting)
- Legal authorities where required by valid legal process
- Successors in a merger, acquisition, or asset sale, with notice to you
4. Data Retention
Account and transaction records are retained for the life of your account plus the period required for tax and legal compliance (typically seven years). Communication logs are retained for two years unless legal hold extends this. You may request deletion of your account at any time; data tied to completed transactions may be retained in a redacted form to satisfy legal obligations.
5. Your Rights
Depending on your jurisdiction (California CCPA/CPRA, EU GDPR, and similar laws) you may have the right to access, correct, delete, or port your personal information, and to object to certain processing. Contact us at privacy@warehouseexchange.com to exercise these rights.
6. Security
We use industry-standard practices: TLS in transit, encryption at rest for sensitive fields, scoped service accounts on Google Cloud, tokenized payment storage with Stripe, and audit logging on administrative actions. No system is perfect; if we discover a breach we will notify affected users in line with applicable law.
7. Children
The platform is not directed to individuals under 18. We do not knowingly collect information from minors.
8. Changes
We may update this policy. Material changes will be communicated by email to active account holders and posted here with a new “Last updated” date.
